Ashfield Accountancy is an accountancy practice based in Woking, Surrey. This notice explains what personal data we collect, why we hold it, and what you can ask us to do with it. We are the data controller for the information described here.
What we collect
- If you enquire through this website: your name, business name, email address, phone number, the type of help you selected and your message.
- If you become a client: the financial and personal information needed to prepare your accounts and returns — which for tax work includes income, expenditure, bank data, payroll data and identification documents.
- Anti-money-laundering records: identification and verification evidence we are legally required to obtain and retain.
Why we hold it, and our lawful basis
- To provide accountancy services. Performance of our engagement contract with you.
- To answer your enquiry. Your consent, and our legitimate interest in responding.
- To meet legal duties. Tax law, the Companies Act and the Money Laundering Regulations all require us to keep certain records.
Who we share it with
With HMRC and Companies House where we are filing on your behalf; with the software providers who host the systems we use, including our accounting software, document portal and the form service that delivers messages sent from this site; and with anyone we are legally required to tell. We do not sell your data and we do not pass it to third parties for their own marketing.
How long we keep it
Client records are retained for the periods required by tax and anti-money-laundering legislation — generally at least six years after the end of the engagement. Enquiries that do not become engagements are deleted on request.
Your rights
Under the UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to our use of it, and ask for it in a portable format. Some of these rights are limited where we are legally required to retain records.

Complaints
Please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
